Description

The Willy Street Co-op, designated "Best Place to Work" in 2012 by Madison Magazine, is a natural foods cooperative with locations in both Madison and Middleton.  We are looking for a Human Resources Assistant  to work 16 hours initially and then increase to full-time hours March through July to cover a leave of absence in the department.  Ideally this person will have reliable transportation and be available to work at both of our retail locations; Willy Street in Madison and University Avenue in Middleton.  An acute attention to detail, ability to maintain absolute confidentiality, excellent sense of organization and follow through on commitments, comfortable working with Word, email, internet, and data entry into databases/spreadsheets and effective communication skills are all required qualifications. Previous HR knowledge or experience preferred. Job Title: Human Resources Assistant

 

Purpose

To assist with administrative functions of the human resource department.

 

Status

Hourly position, up to 40 hours per week.

 

Essential Functions

 
 

1. Personnel

The primary focus of the HR team in terms of personnel is to ensure that managers are able to choose from a pool of qualified candidates in a timely manner, which reflects the diversity of both our applicant population and the city of Madison at large.

  • Post jobs internally and externally per the personnel manual
  • Coordinating with HR Assistant Manager, select candidates for interviews, and schedule first interviews, or forward qualified job bidders to the department head
  • Explain position requirements and application procedures to prospective candidates.
  • Conduct preliminary interviews as requested by the HR Assistant Manager in a timely manner, following all applicable laws
  • Make hiring recommendations to HR Assistant Manager
  • Compile, complete and file all necessary paperwork for new employees.
  • Maintain all employee paper files, ensuring strict confidentiality.
  • Maintain sub database
  • Understand and follow the Personnel Manual.
 

2. Payroll

  • Enter data as requested
  • Maintain training database and process pay raises as necessary
  • Audit other work as requested
 

3. Evaluations

  • Maintain evaluation schedule and print monthly evaluation lists
  • Post evaluations for peer feedback
  • Collate evaluations and distribute to managers
 

4. Employee Information

  • Provide information to management and staff on policies and procedures
  • Document employee complaints and provide resources to solve problems
  • Represent the HR department at team meetings as requested
  • Conduct exit interviews with staff
 

5. Administration

  • Process and respond to incoming paperwork and emails
  • Be on site to respond to staff questions and requests for assistance
  • Administer the staff perk program
  • File all paper personnel files, maintaining confidentiality
  • Maintain employee and applicant databases
 

6. Miscellaneous

  • Attend HR department meetings
  • Communicate with HR team to ensure that all general HR tasks get handled in a timely manner
  • Working with the HR Assistant Manager, develop creative ways to address employee relations and morale
  • Read all-worker updates on the Eggie Buzz on each shift
  • Take on other tasks as assigned by the Human Resources Manager or Assistant manager.
  • Set a positive example for co-workers.
  • Participate in co-worker evaluations.
  • Answer phones as necessary
 

Qualifications

  • Ability to maintain strict confidentiality
  • Ability to type 40 wpm
  • Ability to apply a scrupulous attention to detail
  • Comfortable working with Word, email, internet, and data entry into databases
  • Excellent sense of organization and follow through on commitments.
  • Ability to develop and maintain favorable relations with staff and customers.

  • Ability to handle multiple demands.
  • Ability to handle stressful situations in a calm, effective manner.
  • Basic understanding of the cooperative movement and principles.
